How we handle your personal data

We collect as little as possible, use no tracking cookies and never sell data on. This privacy policy describes what applies when you visit the website and when you contact us.

Last updated 25 October 2026.

Who is responsible

iComServ Europe AB (company registration number 556795-1602), Trossvägen 1, 181 66 Lidingö, Sweden, is the data controller for the personal data processed through the website icomserv.com. If you have questions about how we handle personal data, you can reach us at info@icomserv.com or +46 8 730 66 00.

In short

  • We do not use cookies for tracking, statistics or marketing. That is why we do not show a cookie banner.
  • We do not use any analytics or advertising services on the website.
  • Fonts and images are loaded from our own server, not from anyone else’s.
  • We only process the data that you provide to us yourself, and the technical data needed for the website to work securely and for us to know whether it is being found.
  • We never sell personal data.

When you contact us

When you call, email or write to us through the contact form, we process the details you provide, for example your name, email address, phone number, company and what you write in your message. We use them to reply to you and to follow up on your enquiry, for example with a proposal or a quotation.

The legal basis is our legitimate interest in being able to answer questions (Article 6(1)(f) of the General Data Protection Regulation, GDPR). If your enquiry concerns a contract with us, the legal basis is taking steps prior to entering into a contract (Article 6(1)(b)).

Messages from the contact form are sent to us by email and are not stored on the website. If you do not become a customer, we keep the correspondence for as long as the matter is ongoing and then for no more than 12 months. If you become a customer, we keep the data for as long as the contract is in force and thereafter for as long as the law requires.

When you book a meeting

If you book a meeting through our booking page in Microsoft Bookings, you provide your name, email address, company and the time you choose, and anything you write about what you would like to discuss. We use the data to hold the meeting, and it is stored in our Microsoft 365 environment. The legal basis is the same as when you contact us. If you do not become a customer, we delete the data after no more than 12 months. Microsoft is our data processor and describes its processing in the Microsoft Privacy Statement.

When you visit the website

The web server records every request in a log: IP address, time, which page was requested, which page you came from and which browser you use. We use the logs to keep the website secure and to troubleshoot problems, on the basis of our legitimate interest. They are not used to profile visitors and are kept for no more than three months.

We also count, per day, how many requests come from the crawlers of search engines and AI services, and how many visits arrive through links from AI services, so that we know whether the website is being found. This counting is based on our legitimate interest, contains no IP addresses and cannot be linked to individual visitors.

The website runs on servers in Sweden that we are responsible for ourselves. Traffic goes directly to the servers and does not pass through any other services on the way.

Cookies

The website does not set any cookies when you visit it. Cookies are only used when one of us logs in to edit the website. They are needed for the login and do not affect visitors.

Suppliers

We only share personal data with suppliers that help us run our business, for example Microsoft for email and bookings. They may only process the data in accordance with our instructions. If a supplier processes data outside the EU/EEA, this is done on the basis of the European Commission’s standard contractual clauses or an adequacy decision.

Your rights

You have the right to:

  • find out what personal data we hold about you and receive a copy of it
  • have inaccurate data corrected
  • have data erased when it is no longer needed
  • have the processing restricted
  • object to processing based on our legitimate interest, for example the logs
  • receive, in a machine-readable format, the data you have provided to us

Contact us at info@icomserv.com and we will help you. If you believe that we are handling your personal data incorrectly, you can lodge a complaint with the Swedish Authority for Privacy Protection (IMY), imy.se, or with the data protection authority in the EU member state where you live or work.

Changes

We update this policy when we change how we handle personal data, for example if we add a new service to the website. The date at the top shows when it was last changed.
