Telephony and communications for hotels

Guests call reception, book wake-up calls and expect everything to work around the clock. We modernise your hotel PBX and integrate it with your property management system (PMS), so that bookings, housekeeping and wake-up calls work together.

Your day-to-day

When the PBX and the PMS work together

Many hotels still have a PBX that has worked for many years, sometimes for so long that it has become difficult to maintain. Room phones, wake-up calls and the PMS integration often depend on it, which is why replacing it feels like a big step.

We replace or modernise the PBX and manage the integrations between the systems. When a guest checks in, the room phone is opened for outgoing calls, wake-up calls go off on time, and housekeeping staff can report from the room that it is ready. Calls from the rooms can be charged to the guest’s bill.

We start with an inventory of phones, cabling, PBX and integrations, and then migrate in stages planned around the hotel’s occupancy. Each stage is tested and has a rollback plan.

Common questions

Frequently asked questions about hotel telephony

Can we keep the room phones?

Often, yes. In many cases, analogue room phones and the building’s cabling can be connected to a new platform via gateways. We review the phones and cabling during the inventory.

How is the PBX integrated with the PMS?

A property management system (PMS) usually has an interface to the PBX. We check which interface your PMS and your PBX have, and test every function, such as wake-up calls and room status, before it goes live.

Can the hotel stay open while we replace the PBX?

Yes. We migrate in stages planned around occupancy, and each stage is tested and has a rollback plan.

How do emergency calls from the rooms work?

Guests must be able to call 112 from their room, and reception can receive an alert with the room number. The 112 call path is checked during the replacement, together with the operator and SOS Alarm, which answers 112 calls in Sweden.

Can staff have mobile phones?

Yes. With wireless DECT phones, such as Ascom DECT, or Wi-Fi phones, housekeeping, maintenance and reception can reach each other, and alarms can go to the right person.
